IPY Oslo Science Conference FAQ

IPY Oslo Science Conference Frequently Asked QuestionsHere are some of the great questions we have been getting - and the best answers we can provide.  Please read them carefully :)

Q: I am a student and I want to know if there is a reduced registration fee to attend the conference?
A: As of Monday 1-Mar, the Conference Secretariat approved a reduced fee for students. To make sure you qualify, your advisor or department head needs to send an email to Richard Hart This e-mail address is being protected from spambots. You need JavaScript enabled to view it and Asgeir Knudsen giving them your name, abstract number and title, and confirming that you are curently a studend involved in polar related research. You will then hear back from Richard or Asgeir and can follow their instructions.

Q: Originally I did not receive a stipend or I was on the waiting list, but I was just informed that I am indeed getting a stipend. The trouble is that I already registered for the conference and paid the full price and I booked my accommodation but would like to use the stipend programme accommodation. What do I do now?
A: Confirm your acceptance of the stipend immediately (email to Richard Hart explaining the situation and he will take care of making sure you get the 1/2 of your registration fee refunded. Fill out the stipend programme accommodation survey and be sure to cancel your regular hotel booking.

Q: I just heard about the 1/2 price student registration, but I already registered and paid full price. What do I do now?
A: Just have your advisor Asgeir Knudsen giving them your name, abstract number and title, and confirming that you are curently a studend involved in polar related research. After that is done, send Richard and Asgeir a message telling them that you paid full price, who your advisor is that sent them the email and that need to receive the 1/2 of your registration fee back.

IPY Oslo Travel Funding Update - 3 Mar 2010

travel fundingJust to keep you all informed and to help reduce the number of email requests our dear Director has been getting, please read this carefully.

We also want to caution you about contacting some of these groups after their application deadline has closed and their funding has been awarded (IASC< IARC, etc).  Asking them to fund you now after their funds have been allotted will only cause extra work for them and they will remember your request, and probably not in a positive way. We know that you can find alternative sources - you just might have to be a little creative :)

-- Funding for Portuguese researchers to attending Oslo Conference, click here

-- We have heard that the Canadian Federal IPY Office will be supporting some travel for young researchers and indigenous Canadian participants. We have sent them the list of stipend recipients and they are hoping to send out notifications of awards by 4 March.

-- Recently, thanks to the efforts of Hugues Lantuit and Paul Egerton, the European Polar Board, part of the European Science Foundation, agreed to contribute 5000 Euro toward the travel of young European Researchers to this conference. They have recieved our rankings as well and will be in touch with the recipients hopefully by 4 March. Please do not contact the European Polar Board regarding this, it will drastically decrease your chances for funding.  They will also send declination emails to those European stipend recipients that were not funded.

-- For those of you from Russia, make sure you try for funding from the Russian Foundation for Basic Research. APECS cannot issue individual invitation letters. Please see the conference website for information on letters.

Registration Deadline for Stipend - 4 March

registration deadlineDear IPY Stipend Recipients,

Please remember that you need to register as a conference participant by 4 March to retain your stipend.

You have received your discount registration code already. If you have lost this, please contact Richard Hart.

We realize that many of you still are not sure of travel funding or field work schedules so it may be hard to justify paying the registration fee if you are unsure you can attend. But, in accordance with the cancelation policy set up by the steering committee, if you register and then cancel by 27 April, you will receive your registration fee back minus a 10% administration fee. So worse case scenario: you register for the conference and have to cancel by 27 April, for whatever reason, and loose 24.5 euros. We hope you agree that taking a 24.5 euro chance to attend what will surely be a great opportunity for you to advance your career is an investment you will be willing to make. See http://www.ipy-osc.no/section/1259314487.95 for full cancelation policy.

If you don't register, there are a lot of people on the waiting list that would love to get your stipend...

Thanks,
Jenny and Hugues

Update on IASC Travel Funding
iascThe recipients of an IASC travel grant to attend the IPY Oslo Science Conference 2010 have been notified. IASC is pleased to announce that it was able to provide 57 travel grants to early career scientists from all over the world. In assigning the grants IASC reckoned with the following factors:

a good representation of scientists from the different IASC member countries
  • ranking based on the outcome of the Stipend Reviewing Committee
  • the quality of the abstract
  • representation of scientists with an indigenous background

It was amazing to see how many strong candidates were eligible for support and it was not an easy process to come to a final selection. We sincerely hope that those that will not receive IASC support will find another way to Oslo.

For questions about IASC travel funding, please contact Mare Pit <>.

IPY Oslo Stipend Application Update - 31 January 2010
ipy-osc-logo_horisontalWow!  The interest in the IPY Oslo Science Conference has been amazing. We had over 850 applications for the Oslo Stipend Programme which includes reduced registration and lodging for early career researchers.

After initial screening, 650 people meet the eligibility requirements. These applications are currently being reviewed by the Stipend Review Committee. We hope to notify the 400 talented young researchers that will receive the stipends by 15 February.

We encourage all of you who are interested in attending the conference in June to begin to look for additional travel funds to help make sure you can attend the largest polar research conference to date.
