1.1. The competition is open only to APECS members, if you’re still not a member please join before submitting any films.
1.2. All submissions must be original and created for this competition. Videos that have won prizes in or been submitted to prior competitions, or have been used for commercial purposes will not be eligible.
2.2. The film has to fit in one of the two categories.
2.3. The submission email must include your name, affiliation, email address, submission category, and this written statement: “I have secured permissions from all people depicted in this video and not used any copyright materials.” If any people in the video are minors, you must submit parental consent, or, if you use copyrighted materials, you must show proof of permissions.
2.4. Videos may be filmed in any language, but must include a written copy of any speech in English.
2.5. Each participant can submit up to one (1) video in each category.
2.6. The submission deadline is the 15th of September, 2017.
2.7 The organization reserves the right to reject submissions with incomplete details or that don’t respect the theme of the competition.
3.1. Each submission must be original and unpublished for commercial or non-commercial purposes.
3.2. The participant shall retain the copyright to the film entered for the competition, though grants APECS rights to use and edit materials as needed for organizational purposes.
3.3. By submitting a film for the competition, the participant will be regarded as having accepted and agreed to be bound by the rules and regulations of the competition and granted the organizer, APECS, royalty-free permissions to use the film(s) for promotional, commercial, or educational purposes. APECS will credit the creator for any use of a video.
3.4. Any people featured in the films must also accept and agree with the rules and regulations of this competition. It is the entire responsibility of the participants in the competition to inform and to get the permissions of all the people in the submitted videos. Entries will be disqualified if these permissions are not secured. Any depiction of minors must include parental consent.
3.5. If music is used in the film, it is the responsibility of the videographer to ensure they are following proper copyright laws. (You can find a lot of free music for commercial use).
4.1. The films will be uploaded, by the organiser, to the APECS website, where public viewing will take place, during Polar Week (18-24 September, 2017).
4.2. During this time, a panel of judges on the APECS Council will vote on the best videos.
4.3. Each participant can only win one category. In the case that a participant has the most votes in more than one category, the second participant with most votes will be the winner in the category where the winner won less points.
4.4. Results of the competition will be posted on the APECS website and the winners will also be notified during Polar Week.
5.1. APECS will award a prize to the first place winner of each category.
5.2. The winner of each category will win a prize of €100 (one-hundred Euros). These funds can be only used towards travel costs to a polar or cryosphere related conference of your choice within one (1) year of the date of the award.
5.3 After the release of results, the winners will be contacted by the APECS International Directorate Office with instructions for claiming the prize.
